NASIG Compensation and Reimbursement Policy

NASIG is committed to providing its membership with first-rate programming at the annual conference and at continuing education events. In order to attract dynamic, informed, and capable presenters, NASIG provides them with fair and reasonable compensation and reimbursement. As part of the various NASIG awards, recipients receive reasonable reimbursement and compensation to attend the annual conference. NASIG also wishes to compensate fairly the many volunteers who perform vital tasks associated with the conference and continuing education events. The Compensation and Reimbursement Policy is designed to assist the Conference Planning, Program Planning, and Continuing Education committees to be consistent and equitable when presenting reimbursement options, while at the same time allowing for the flexibility needed in dealing with exceptional situations.

Exceptions: Any exception to this policy must be submitted to the NASIG Treasurer for consideration by the Executive Board.

Compensation: Compensation may be given in the form of waivers from basic continuing education or conference registration fees. Basic conference registration does not include lodging in standard conference lodging, or optional events (pre-conferences, tours, extra nights, etc.).

Honoraria & Reimbursement: NASIG pays honoraria to Vision Speakers, Pre/Post-Conference and Workshop speakers, and E&I Webinar Speakers. Some speakers may also be reimbursed for certain direct expenses.

The following compensation and reimbursement is provided:

Speakers

Vision/Plenary Speakers: Each plenary speaker receives a waiver for the basic conference registration, and a maximum of four (4) nights' standard conference lodging, regardless of NASIG membership status. NASIG will reimburse each speaker for direct expenses, including but not limited to: travel, and ground transportation to/from the conference venue. Under typical circumstances, only two-three (2-3) speakers will receive this for each session.

Concurrent Session Speakers: Each concurrent session speaker receives a $100 discount on the cost of the standard conference registration if registered before standard registration closes, regardless of NASIG membership status. If a concurrent session speaker is a student, the discounted rate is $25 off the cost of standard conference registration. If speakers register after standard registration has closed, speakers will no longer be eligible for the discounted rate. No other compensation is provided. Under normal circumstances, a maximum of three (3) speakers per session will receive this discount.

Pre/Post-conference or Workshop Speakers: Pre/Post-conference or workshop speakers will receive a $400 honoraria to spend on travel and lodging, and speakers must divide this up amongst themselves. Speakers will receive the discounted speaker registration rate for up to three speakers.

All Other Presenters (including Moderators for any session, or Facilitators for sessions other than those specified above): No compensation is provided.

Continuing Education Speakers: Each continuing education speaker receives a waiver for the continuing education event fee, regardless of NASIG membership status. Direct expenses not covered by the organization where the continuing education speaker is employed may be reimbursed by NASIG with prior approval by the NASIG Treasurer.

Each continuing education speaker receives a $100 discount on the cost of the basic conference registration if registered before Standard registration closes, regardless of NASIG membership status.

NASIG committee members of a webinar sponsoring committee receive free registration for the sponsored webinar.

If NASIG supplies a speaker for a continuing education event for another conference, that conference is responsible for waiving the registration fee.

Award Recipients:

Except for the Tuttle Award winner, the following standard costs are covered for all recipients to attend the NASIG Annual Conference:

  • Conference registration, 4 nights covered at standard conference lodging

  • $600 cash stipend for all incidentals

  • Recipient arranges all travel, meals, etc on their own

  • One year's free membership in NASIG

Additionally:

  • All travel and visa expenses are covered for the Mexican Student Grant winner.

  • The Fritz Schwartz Serials Education Scholarship winner also receives a $3000 grant.

  • The NASIG member recipient of the Merriman award also receives a $3000 grant to support the travel to the UKSG conference and accommodations for the duration of that conference.

  • Marcia Tuttle International Award winner receives a $3000 grant. No conference-related compensation is provided to recipients of the Marcia Tuttle International Grant.

Conference Coordinator/Coordinator-in-Training:The Conference Coordinator and Conference Coordinator-in-Training (when applicable) receives a waiver for 1/2 of the basic conference registration, excluding standard conference lodging. Additionally, the Conference Coordinator and Conference Coordinator-in-Training will receive reimbursement for up to two nights' lodging in standard conference lodging to attend the Board meeting the day prior to the annual conference. Miscellaneous expenses for early arrival to the conference venue, such as parking fees and meals, may also be covered for the Conference Coordinator and Conference Coordinator-in-Training.

Conference Planning Committee (CPC), Registrar, and Registrar-in-Training: Each appointed CPC member and the CPC Board Liaison for the current conference receives a waiver for 1/2 of the basic conference registration, excluding standard conference lodging. Each CPC co-chair, the Conference Registrar, and Registrar-in-Training (when applicable), receive a waiver for the full basic conference registration. Additionally, the CPC co-chairs will receive reimbursement for up to two nights' lodging in standard conference lodging to attend the Board meeting the day prior to the annual conference. Miscellaneous expenses for early arrival to the conference venue, such as parking fees and meals, may also be covered for the CPC co-chairs, Registrar and Registrar-in-Training.

Conference Proceedings Editors: NASIG provides two $600 travel stipends to reimburse expenses related to conference travel for the Production Editor and second year Proceedings Editor. The Incoming Proceedings Editor and Production Assistant receives a waiver for 1/2 of the basic conference registration.

Conference Site Visit: NASIG reimburses up-to two CPC Co-Chairs and Conference Coordinators all expenses associated with a site visit to the conference venue for planning purposes. Expenses include, but are not limited to: Travel, ground transportation, meals, lodging, incidentals. All expenses incurred during the Site Visit will be reviewed by the NASIG Treasurer.

Program Planning Committee (PPC): Each appointed PPC member and the PPC Board Liaison for the current conference receives a waiver for 1/2 of the basic conference registration, excluding standard conference lodging. Each appointed PPC co-chair for the current conference receives a waiver for the basic conference registration, excluding lodging in standard conference lodging. Each co-chair receives reimbursement for up to two nights' lodging in standard conference lodging to attend the Board meeting the day prior to the annual conference. Miscellaneous expenses for early arrival to the conference venue, such as parking fees and meals, may also be covered.

Sponsorship Coordinator: The appointed sponsorship coordinator receives a waiver for 1/2 of the basic conference registration, excluding standard conference lodging.

Social Media Coordinator: Social Media Coordinator and Social Media Coordinator-in-Training (when applicable), receives a waiver for 1/2 of the basic conference registration, excluding standard conference lodging.

UKSG Chair: The UKSG Chair or designee receives a waiver for the basic conference registration and standard conference lodging as part of a reciprocal arrangement with that organization.

Volunteers at the Conference Host Site (Non-CPC members): All other host site volunteers will be allowed to drop in at a few conference sessions at no cost, if space permits.

All Others: No compensation is provided except reimbursement of expenses as approved in the budget.

Receipts

Receipts for all expenses must be submitted to the NASIG Treasurer.

NASIG Travel Reimbursement Policy

The following criteria apply to all travel:

Transportation
NASIG reimburses up to the cost of a thirty-day advance-purchase airfare in coach class.

NASIG reimburses for automobile mileage at the current federal rate up to the cost of a thirty-day advance-purchase airfare in coach class.

Train and bus fare will be reimbursed up to the cost of a thirty-day advance-purchase airfare in coach class.
